Optimitor (“we”, “us” or “our”) runs optimitor.com and sets up AI for small and medium businesses. This policy explains what we collect through this website and our work, how we use it, and the choices you have. Questions go to hello@optimitor.com.
1. What we collect
When you send an enquiry. Your name, work email, company, role, website, company size, what you're interested in, your budget range, how you found us and your message.
When you download the Rulebook template. Your name, work email, company and role.
When you send a kickoff checklist. The details above, plus the names, roles and email addresses of colleagues you ask us to involve, the AI and CRM you use, the accounts you list, and your goals and notes.
Where you came from. If you arrive through a link with campaign tags or an ad click ID (such as utm_source or gclid), your browser keeps them for the rest of your visit and sends them with any form you submit, together with the page you landed on and the site that referred you.
Analytics. We use Google Analytics 4 to see which pages are useful and which campaigns lead to enquiries. See section 5 for how consent works.
Server logs. Our host records standard technical data such as IP address, browser, pages requested and time, for security and to keep the site running.
During client work. We work inside your own accounts, such as your analytics, CRM, ad platforms and AI subscription. That data stays in your accounts. We access it only to deliver the work you've asked for, on your instructions, and we don't copy it into systems of our own.
2. How we use it
- To reply to you, book a call and prepare a proposal
- To give you the Rulebook template, and occasionally to ask whether it helped
- To deliver, support and invoice the work you buy
- To see which pages and campaigns lead to enquiries
- To protect the site and forms from spam and abuse
- To meet legal, tax and accounting obligations
We don't sell personal information, and sending an enquiry or downloading the template doesn't add you to a mailing list.
3. Who we share it with
Only the service providers we need to run the business, such as our hosting, email, analytics and payment providers, and the tools used during client work; our professional advisers; and authorities when the law requires it. Each receives only what its role needs.
4. How long we keep it
Enquiries are kept as long as we need them to reply, keep reasonable sales records and protect against abuse. Client records are kept for the length of the relationship and for the legal, tax and accounting periods that follow. You can ask us to delete your data at any time, and we will unless the law requires us to keep it.
5. Cookies and browser storage
Google Analytics runs with Google Consent Mode. For visitors in the European Economic Area, the UK and Switzerland, analytics cookies stay off unless you accept them in the cookie banner. Elsewhere they're on by default, and you can block them in your browser settings.
- Google Analytics cookies (_ga and _ga_ followed by an ID): measure visits, when analytics is allowed
- opt_consent (local storage): remembers your cookie choice, if you made one
- opt_attr (session storage): keeps campaign tags for the rest of your visit, cleared when you close the tab
- PHPSESSID (session cookie): set when a form loads, to protect it from spam, and to let your browser download the template for 24 hours after you ask for it
6. Security
We use reasonable safeguards, including HTTPS, access controls, spam protection and least-privilege access to client accounts. No system can be guaranteed completely secure.
7. Your rights
Depending on where you live, data protection laws such as the GDPR may give you the right to see, correct, delete or restrict your personal data, to object to how we use it, or to receive a copy. Email hello@optimitor.com to make a request. We may need to confirm your identity first. You can also complain to your local data protection authority.
8. International transfers
Our service providers may process information outside the country you live in. Where the law requires it, we use appropriate safeguards for those transfers.
9. Children
This site and our services are for business users. We don't knowingly collect personal information from anyone under 18.
10. Changes
If we change this policy, we'll update the date at the top of this page.
